SwimIntel, LLC (“SwimIntel,” “we,” “us,” or “our”) respects your privacy and is committed to protecting personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our websites, platform, and services (collectively, the “Services”), available at https://swimintel.com and https://swimintel.al.

By accessing or using the Services, you acknowledge that you have read and understood this Privacy Policy. If you do not agree, please do not use the Services.

1. Who Can Use SwimIntel

SwimIntel accounts may be created by athletes, parents or legal guardians, college coaches, high school or club coaches, and sponsors or brands. Athlete accounts are intended for individuals aged 14 or older.

Parents or legal guardians may create and manage accounts on behalf of athletes under the age of 18. By doing so, the parent or guardian consents to the collection and use of the athlete’s information as described in this Privacy Policy.

2. Children’s Privacy

SwimIntel is intended for users aged 14 and older. We do not knowingly collect personal information from children under the age of 14 without parental or legal guardian involvement. If we learn that personal information has been collected from a child under 14 without appropriate consent, we will take reasonable steps to delete such information.

3. Information We Collect

a. Account and Profile Information

We collect limited personal information necessary to operate the Services. This may include:

  • Name and email address
  • Password credentials; we use third-party authentication and membership management tools to manage user accounts and credentials; passwords are not stored in plain text
  • Optional profile information such as phone number, Instagram handle, birthday, height, shoe size, club affiliation, and “About Me” content
  • Optional academic information such as GPA, standardized test scores, and intended academic interests

b. Athletic and Performance Data

SwimIntel displays publicly available swimming performance data, including best times and competition results. We calculate proprietary Impact Ratings and star ratings based on available performance data.

Athletes may update their best times, but are expected to do so truthfully. Providing false or misleading performance data may result in account suspension or removal.

c. Content You Provide

Users may upload a profile photo and written biography. Users may also provide links to race videos hosted on third-party platforms. SwimIntel does not allow users to upload or store video files on our servers.

d. Communications

We collect information you provide when you contact us by email or otherwise communicate with SwimIntel. SwimIntel does not provide direct messaging between users on the platform.

e. Information We Do Not Collect

SwimIntel does not intentionally collect sensitive personal information such as Social Security numbers, government-issued identification numbers, precise geolocation data, health or medical information, or financial account information. Payment information is processed by third-party payment processors, and SwimIntel does not store full payment card details.

4. Scout Reports and AI-Assisted Analysis

SwimIntel may generate written evaluations known as “Scout Reports,” which may be offered as a paid service or created proactively for certain athlete profiles. Scout Reports are based on analyst review of available performance data and race footage links.

We may use artificial intelligence tools to assist in generating Scout Reports. SwimIntel does not permit third-party AI vendors to train models on user data, Scout Reports, or athlete information.

SwimIntel may use aggregated or anonymized data internally for platform improvement, analytics, and research purposes.

5. How We Use Information

We use collected information to:

  • Provide, operate, and maintain the Services
  • Create and display athlete profiles and Scout Reports
  • Facilitate recruiting visibility for authorized college coaches
  • Process payments and manage subscriptions
  • Respond to inquiries and provide customer support
  • Monitor usage, improve functionality, and enhance the Services

6. Data Sharing and Visibility

a. Profile Visibility

A limited subset of athlete profile information may be visible publicly. Contact information, academic data, recruiting insights, and Scout Reports are visible only to authorized college coaches on paid tiers. Sponsors or brands may view a subset of information when an athlete opts in, but do not have access to academic data, recruiting insights, or Scout Reports.

b. Service Providers

We may share information with trusted third-party service providers that help us operate the Services, including payment processors, cloud hosting and infrastructure providers, analytics providers, and website and membership management tools.

c. Third-Party Platforms

The Services may contain links to third-party websites or platforms, including video hosting services. SwimIntel does not control and is not responsible for the privacy practices or content of third-party sites. Your interactions with those platforms are governed by their respective privacy policies.

d. Legal Requirements

We may disclose information if required to do so by law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of SwimIntel, our users, or others.

e. Business Transfers

If SwimIntel is involved in a merger, acquisition, financing, reorganization, or sale of assets, personal information may be transferred as part of that transaction, subject to applicable law and consistent with this Privacy Policy.

7. Cookies and Analytics

SwimIntel uses analytics tools such as Google Analytics to understand how users interact with the Services. These tools may use cookies or similar technologies to collect usage information. We do not use advertising or marketing pixels.

8. Data Retention

We retain personal information for as long as an account remains active or as needed to provide the Services. If you request deletion of your profile, we will remove personal information from the Services, subject to legal, accounting, or record-keeping obligations.

Transaction and payment records may be retained as required by law or for legitimate business purposes.

9. Your Rights and Choices

You may request access to, correction of, or deletion of your personal information by contacting us at support@swimintel.com. We will respond to reasonable requests within a reasonable timeframe.

No Sale of Personal Information. SwimIntel does not sell personal information to third parties.

10. Security

We implement reasonable administrative, technical, and organizational safeguards designed to protect personal information. However, no system is completely secure, and we cannot guarantee absolute security.

11. U.S.-Only Services

SwimIntel is intended for use by individuals in the United States. We do not knowingly target or market the Services to users outside the U.S.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Changes are effective when posted on the Websites, and the “Last Modified” date will be updated accordingly.
